Northstar Travel Group is looking for an Event Coordinator to support our events teams with logistics, operations, sales conference registration and other event management related tasks. The ideal candidate is a great multi-tasker with stellar communication skills and can pick things up quickly. 

Our employees split their time between our Secaucus, New Jersey office (2 days) and working from home (3 days) and flexibility is provided.

Responsibilities:

  • Responsible for assisting Event Director in all aspects of event coordination including appointment system, registration system, housing/hotel management, coordination of collateral (both on-site and pre-event), and any special projects
  • Responsible for assisting EVP, Events in the efficient running of the department and group in all aspects of sales and operations for the event department
  • Overall registration support for events department including setting up registration sites, working with the registration vendor and serving as the liaison, monitoring reports, numbers, demographics and specified event details and analysis as needed
  • Overall appointment system support including creating attendee profiles, working with the system vendor and serving as the liaison, monitoring reports, appointment schedules and analysis as needed
  • Housing management - Collect and manage event hotel requirement, liaison between hotels and event attendees as well as all pre and post event reporting
  • Customer service liaison for event attendees and suppliers.  Responsible for following up and responding to all customer service inquiries.  Inclusive of attendee engagement projects for all events.
  • Responsible for preparing registration reports and financial transaction reports for events
  • Coordinate sponsorship deliverables for various events.  Serve as liaison with client and responsible for sponsorship activation.
  • Coordinating travel itineraries for events including speakers, hosted buyers, staff, etc. 
  • Assist event management team on-site with assigned event duties
  • Manage event supplies and coordinate on-site delivery logistics
  • Overall management and implementation of ship inspections and other ad hoc functions/programs associated with events
  • Enter, monitor and maintain various sales activities, opportunities and forecasts into SalesForce and send out contracts on an as needed basis
  • Serve as sales/marketing support for all events
  • Logistics preparation and execution of various special projects
  • Act as liaison with vendors as required
  • Understand customer needs and requirements

 

Required Knowledge, Skills and Abilities

  • Familiar with a variety of concepts, practices, and procedures within the event management field
  • Ability to multi-task
  • Excellent time management, interpersonal and organizational skills
  • Stellar communication skills with the ability to negotiate effectively
  • Strong computer proficiency and excellent technical skills

 

Related Work Experience:

  • 2+ years operations experience, preferably related to events
  • Strong track record of achieving goals and ability to pick things up quickly
